We are looking for a dynamic and talented individual to fill the following vacancy
Job Title: Receptionist / Admin Assistant (Core Services) - 2 years contract renewable
Based: Singapore
RESPONSIBILITIES
Reception Duties:
- Front desk service
- Telephone management
- Courier services / office mails
- Maintenance of franking machine and credit ready for use at all times
- Ensure ready supplies of all courier needs especially for overseas use
- Maintain proper recording of all courier movement
- Manage Local and overseas courier contracts – negotiation of rates, ensuring contract is renewed on a timely basis, etc.
- External & internal Prize/lucky draw collection coordination
- Housekeeping common areas such as Reception, main lobby, mailroom, meeting rooms, etc.
- Switching off lights/TVs at common area at end of each day
Office Administration:
- Process all admin related invoices
- Corporate stationery supplies (eg letterheads, envelopes, stickers, misc forms)
- Stationery supplies management (include copier paper)
- Newspaper subscription
- First aid kit box supplies
- Mobile Phone – process authorization form, advice employee and Finance of approval, update mobile number on the internal phone directory
- Periodic maintain and update Singapore and Regional offices’ internal phone directory
- Process and issue access cards for internal and guests/visitors
- Groceries supplies – monitor, order, storage and replenish
- Name cards artwork and liaise with vendor on printing
- Process of staff pass
- Assist Senior Executive in other admin duties
REQUIREMENTS
- Possess excellent communication skill and telephone etiquettes
- Presentable, mature, independent and organized
- Well-groomed and possess good people skills
- Proficient in computer skills, especially MsOffice
- Good spoken English / Mandarin and able to communicate effectively
- Able to work in a fast working environment
